Before Starting at CSAIL
Before starting work (paid or unpaid) in CSAIL or using any of the laboratory's facilities, everyone must officially sign in with Human Resources and complete the necessary registration forms. We try our best to make this a quick process.
- For domestic visitors, one month's notice gives us enough time to make the process go smoothly for the visitor when she or he arrives.
- For international visitors, the International Scholars Office requests three months notice before arrival.
All visitors, whether paid or unpaid, foreign or domestic, should be formally appointed when they come to MIT to research and collaborate for longer than two weeks. All visitors are here at our discretion, in the fullest sense of the word, and anyone occupying MIT facilities and using MIT resources must have a formal connection to the Institute. The appointment serves to limit the exposure of the Institute to financial risk, either through lawsuits, or increased overhead expenses.
The benefits of the appointment mechanism for the Institute are obvious. However, there are benefits for the visitor as well. If CSAIL HR is notified far enough in advance of their proposed visit, we will be able to process the appointment form in time for the visitor to be entered into the human resources computer system, and be able to get an MIT ID card, even if they will only be here a short time. This ID card provides conveniences such as:
- Library privileges
- After-hour access to CSAIL and other MIT buildings
- Ability to purchase a parking permit (space permitting) and/or gym membership.
Before Leaving CSAIL
All staff, visitors, and students who leave CSAIL must complete a formal exit form with CSAIL HR. All CSAIL keys, equipment, and identification cards must be returned at this time. Students, visitors, and postdocs should check out within the week prior to leaving the laboratory. Paid postdocs and visitors should give Human Resources three weeks notice if they plan to leave before their scheduled end date.
Per MIT's Policy Manual (
section 6.4.1), at least two weeks notice of termination by Support and Service Staff members and four weeks notice of termination by Administrative and Sponsored Research Staff members should be given to the department.
